(SW® — 03) Diagnosis

Enquiries get lost when…

  1. 01

Clients live in a spreadsheet and email.

Data is scattered and nobody sees the full picture: who did what and where a deal got stuck.

  2. 02

The manager learns about an enquiry too late.

The form was sent, the email did not arrive, nobody called back. The client went to whoever replied faster.

  3. 03

You do not know where clients come from.

Without a link between the site, analytics and the CRM you cannot count what actually brings sales.

  4. 04

A ready-made CRM does not fit your process.

You adapt to fields and stages invented by someone else, while your business’s quirks live in people’s heads.

An enquiry nobody saw in time is money that went to a competitor.

Timeline
after a technical session

001. Step

Technical session and process map

We go through how enquiries arrive and are handled now, where they get lost and what the system must do.

  • An enquiry’s path from form to deal
  • The places where data gets lost
  • Features, roles and constraints

You getA process map and an honest estimate: integration or your own system.

002. Step

Interface prototype

A clickable prototype before any code is written. Moving a screen is cheaper than rewriting a module.

  • Screens for managers and the head of the team
  • Scenarios agreed before development
  • A basis for an accurate estimate

You getA prototype on which the team already sees how the system will work.

003. Step

Core: clients, enquiries, tasks

We build the foundation of the system in 1–2 week iterations so you see a working part.

  • Clients, enquiries and tasks
  • Roles and permissions
  • An action history: who did what

You getA working system with all data in one place.

004. Step

Integrations

We connect the site, email, messengers, payment systems and any documented API.

  • Site forms pass enquiries into the system
  • Alerts in Telegram or by email
  • Events and goals in GA4

You getEnquiries that do not get lost between the site and the manager.

005. Step

Data import and testing

We migrate your existing data from spreadsheets and check scenarios, edge cases and behaviour on errors.

  • Import from spreadsheets and files
  • Scenarios and edge cases
  • Load testing when needed

You getA system tested before the team starts to use it.

006. Step

Training, documentation and handover

We show how to work with it, describe the architecture and hand over the repository.

  • Team training
  • A description of the architecture and deployment
  • The repository and all access to you

You getA system you own and that does not depend on us.

Enquiries live in spreadsheets and messengers

Clients are scattered, nobody sees the full picture or who promised what. We bring everything into one system.

© — 002.

A ready-made CRM does not fit your process

You bend your work around someone else’s fields and stages. We build a system that follows your process.

© — 003.

The site and CRM are not connected

A form enquiry lands in an inbox and goes nowhere. We set up the data flow so enquiries stop getting lost.

What the companies we have worked with have to say.

All reviews

We sold dancewear through Instagram and were drowning in DM orders. The team built a store where the customer picks size and colour themselves, and orders finally stopped getting lost. Worth adding: we have run the catalogue ourselves ever since, without coming back for small changes.

Transparent rules

  • 01

The data and code are yours

We hand over the repository and access. Your clients and history stay with you alone.

  • 02

    A result every 1–2 weeks

After every iteration you see a working part of the system, not a progress report.

  • 03

    We test before launch

We check scenarios, edge cases and behaviour on errors so no enquiry disappears.

  • 04

    Honest about off-the-shelf tools

If a ready-made CRM suits you, we say so at once and help you with it.

(SW® — 10) FAQ

Questions about CRM

001. Your own CRM or a ready-made one: which to choose?

If a ready-made one covers your process, choose it and we will tell you so. A custom one makes sense when the process is specific, ready-made tools demand constant compromises, or deep integration with your systems is needed.

002. Can you connect our site to our CRM?

Yes. We connect forms, orders and events to any CRM that has a documented API. The scope of the integration depends on what your system offers.

003. How much does CRM development cost?

Hourly work from $25/hour. We name the sum after the technical session, once features and scope are clear. For large systems we work in stages with a fixed price per stage.

004. Will you migrate the data from our spreadsheets?

Yes, we set up an import from your spreadsheets and export files so you do not retype everything by hand.

005. Why not build the CRM myself in no-code or with AI?

For simple record-keeping that may be enough. But once roles, permissions, integrations, data security and load appear, such solutions start to fail. We design and test for that up front, and we use AI as a tool under a person.

006. Who owns the code and the data?

You do. We hand over the repository and all access. No closed parts that only we can reach.

007. Do you support the system after launch?

Yes, by separate agreement. For systems with users, support is almost always needed.
